Did you know? Communicating with your Customers – How to use the FleetCommander User Email Tools

Matt Wade_Customer SuccessFleetCommander clients tell us they love the fact that FleetCommander automatically communicates with users about upcoming reservations, late-return reminders, fleet policies, and more. This saves them time and ensures that policies are being communicated efficiently and consistently.

But did you know that FleetCommander also has a “Send Email” tool that you can use to reach users at any time? It comes in handy when you want to let drivers know to update information in their profiles, office hours have changed, or that vehicles have been moved to a different parking lot, etc. You can use the tool to send emails to specific sites or limit them only to users with certain permissions/usage types/access groups.

Today, there are two different Send Email tools. The first one is the User Email Tool. You can access it by going to the Tools > Send Email > User Email Tool.

Here’s how it works: Simply set the filters to choose your audience, customize your text for the message body, and enter your subject line.

Next, simply click on “Generate Email List.” Based on the filters set, FleetCommander will create a list of users.

This list can be edited further to include or remove selected users by unchecking the box next to the person’s name. You can edit the body of the email here as well. Once the users have been selected and the body of the email is ready to go, simply click “Send Messages” and the email will be sent out to all selected users. It’s that easy!

The second Send Email tool is the Driver/Requestor Email. This can be accessed by going to the Tools > Send Email > Driver/Requestor Email. This is right below the User Email Tool.

As you can see these two tools look very similar, however, the Driver/Requestor Email tool is a better choice if you want to send an email only to users who have made motor pool reservations during a specific timeframe.

It works much like the User Email Tool. Simply set the filters to choose your audience, customize your text for the message body, and enter your subject line.

Next, simply click on “Generate Email List.” Based on the filters set, FleetCommander will create a list of users. This screen is the same as the User Email Tool. You can edit the body of the email and you can include or exclude users by checking the checkbox next to the username. Once the users have been selected, click on “Send Messages” and the email will be sent out to all selected users. Simple!
